Confirming Your Travel Arrangements
A booking is considered confirmed only once written approval has been received from the client and the required deposit or full payment has been successfully processed. At this point, a binding agreement is formed between the client and Travel Nation DMC, governed by these Terms and Conditions as well as the relevant supplier policies.
Payments and Financial Commitments
All payments are to be made through approved methods such as bank transfer or card payment. A deposit is generally required at the time of confirmation, with the remaining balance payable prior to travel as per the timeline shared at the time of booking. In cases where bookings are made closer to the travel date, full payment may be required immediately. Any bank charges, transfer fees, or processing costs remain the responsibility of the client, and failure to meet payment deadlines may result in cancellation of services.
Pricing and Rate Adjustments
All prices quoted are based on current supplier rates and applicable taxes at the time of quotation. These may be adjusted in the event of changes in currency exchange rates, government taxes, or supplier pricing. Once a booking is fully confirmed and paid, the price will remain fixed unless any amendments are requested by the client.
Changes, Adjustments, and Cancellations
We understand that travel plans may change, and we will always do our best to accommodate adjustments wherever possible. Any request for modification or cancellation must be communicated in writing. Charges may apply depending on supplier policies, the timing of the request, and the proximity to the travel date. In certain cases, particularly closer to departure, cancellation charges may be significant or non-refundable as per supplier terms.
Travel Documents and Personal Responsibility
It remains the responsibility of the traveller to ensure that all necessary travel documents are valid and complete, including passports, visas, and any required health certifications. We are always happy to provide guidance, but we cannot be held responsible for any issues arising from incomplete or incorrect documentation.
Travel Protection and Insurance
We strongly encourage all travellers to obtain comprehensive travel insurance covering medical emergencies, cancellations, delays, and loss of personal belongings. This ensures peace of mind throughout the journey and protection against unforeseen circumstances.
Third-Party Services and Supplier Conditions
Travel Nation DMC works with carefully selected third-party service providers including hotels, transport operators, airlines, and activity providers. Each supplier operates under its own terms and conditions, which may apply in addition to ours. While we coordinate these services on your behalf, responsibility for delivery of these services ultimately rests with the respective providers.
Limitation of Liability
We take great care in designing and managing travel experiences; however, we cannot be held responsible for events beyond our control. This includes delays, disruptions, injuries, losses, or changes caused by third-party suppliers or unforeseen circumstances such as natural events, political situations, or operational disruptions. Our responsibility is limited to the services directly arranged and confirmed by us.
Events Beyond Our Control
In situations where external factors such as natural disasters, government actions, civil unrest, or other unforeseen events affect travel arrangements, we reserve the right to modify, postpone, or cancel services as necessary. In such circumstances, we will always aim to offer suitable alternatives where possible, but cannot be held liable for resulting delays or changes.
Respectful Conduct During Travel
We expect all travellers to behave responsibly and respectfully throughout their journey. In situations where behaviour is deemed inappropriate, disruptive, or unsafe, we reserve the right to terminate travel services without refund to ensure the safety and comfort of all parties involved.
Handling Concerns and Feedback
We value every traveller’s experience and encourage open communication should any issues arise. Concerns should be raised immediately with the relevant service provider during travel, and followed up in writing within a reasonable time after completion of the journey. This allows us the opportunity to fully review and address the matter fairly.
Privacy and Information Handling
We treat all personal information with care and confidentiality. Any data shared with us is used solely for the purpose of arranging travel services and communicating relevant booking information. Where necessary, limited information may be shared with trusted suppliers involved in delivering your travel arrangements.
Any costs or damages resulting from inappropriate behaviour will remain the responsibility of the traveller involved.
